How we collect, use, and protect your information

This Privacy Policy explains how CWEET TRADING PTY LTD (ABN 92 216 102 109), trading as Chairside Logic ("we", "us", "our"), collects, uses, discloses, and protects personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

By using our website at chairsidelogic.com or our services, you acknowledge that you have read and understood this policy.

1. What personal information we collect

We collect the following categories of personal information:

  • Identity information: your name and professional title
  • Contact information: your email address
  • Account information: your email address and a secure authentication token used to manage your login session
  • Clinical note templates: existing clinical note templates and documentation that you upload for transformation
  • Onboarding preferences: your clinical workflow preferences (e.g. note formatting, default materials, local anaesthetic colour codes)
  • Payment information: processed by Stripe; we do not see or store your card details
  • Technical information: browser type, IP address, and basic usage data collected automatically when you visit our website

We do not collect patient health information. The clinical note templates you submit describe your preferred note structure and formatting. They do not contain identifiable patient data. If you inadvertently include patient information in uploaded files, please contact us immediately so we can delete it.

2. How we collect your information

We collect personal information:

  • Directly from you: when you create an account, complete the onboarding form, upload template files, make a payment, or contact us by email
  • Automatically: through standard web server logs when you visit our website

We only collect personal information that is reasonably necessary to provide our template transformation service.

3. Why we collect your information

We use your personal information for the following purposes:

  • To create and manage your account
  • To process your template transformation order
  • To tailor your templates to your clinical workflow preferences
  • To deliver your completed templates and supporting documents
  • To process payments through Stripe
  • To provide post-delivery support and handle template fix requests
  • To communicate with you about your order and our service
  • To maintain and improve the security and performance of our website

We do not use your personal information for direct marketing unless you have given us separate consent to do so.

4. How we disclose your information

We may share your personal information with the following third parties, strictly for the purposes described above:

  • Anthropic (United States): AI processing of clinical note templates using Claude language models
  • Notion (United States): client record management, template metadata, and activity logging
  • Stripe (United States): payment processing (card details are never stored on our servers)
  • Zoho (United States): outbound email communications (onboarding, delivery notifications)

We do not sell, rent, or trade your personal information to any third party. We do not share your uploaded templates or clinical preferences with anyone outside our organisation, except as required by law.

5. Overseas disclosure

Some of your personal information is disclosed to overseas recipients as part of delivering our service. The following third-party services operate in the United States:

  • Anthropic (United States) - AI processing of clinical note templates
  • Notion (United States) - client record management and activity logging
  • Stripe (United States) - payment processing (PCI DSS Level 1 certified)
  • Zoho (United States) - outbound email communications

Your account credentials (login and password) are stored on servers located in Australia.

Informed consent for the overseas disclosure of personal information is obtained at the time of purchase, in accordance with Australian Privacy Principle 8. Before disclosing personal information to any overseas recipient, we take reasonable steps to ensure they comply with the Australian Privacy Principles or are subject to a substantially similar privacy regime.

6. How we store and protect your information

We take reasonable steps to protect your personal information from misuse, interference, loss, unauthorised access, modification, and disclosure. Our security measures include:

  • All data transmitted via HTTPS/TLS encryption
  • API credentials encrypted at rest using AES-256
  • User passwords stored as cryptographic hashes (never in plaintext)
  • Internal service communication isolated within private networks
  • Access to personal information restricted to authorised personnel only

Data retention

We retain your personal information for the following periods:

  • Templates and deliverables: retained until manually removed or upon client request
  • Template fix request transcripts: automatically deleted after 5 days
  • Account data: retained until account deletion is requested
  • Activity logs: retained for operational and compliance purposes
  • Payment records: retained as required by Australian tax law

When your information is no longer needed, we will take reasonable steps to destroy or de-identify it.

7. Accessing and correcting your information

You have the right to:

  • Access the personal information we hold about you
  • Request correction of any information that is inaccurate, out of date, incomplete, or misleading
  • Request deletion of your personal information, subject to any legal obligations we have to retain it

To make a request, email us at tom@chairsidelogic.com. We will respond within 30 days. There is no charge for making a request or for us to correct your information. If we refuse a request, we will provide you with a written explanation of our reasons.

8. Data breaches

In the event of a data breach that is likely to result in serious harm to you, we will:

  1. Take immediate steps to contain the breach and mitigate any harm
  2. Assess the breach within 30 days to determine whether it is an eligible data breach under the Notifiable Data Breaches (NDB) scheme
  3. Notify the Office of the Australian Information Commissioner (OAIC) and all affected individuals as soon as practicable, including a description of the breach, the types of information involved, and recommended steps you should take

9. Cookies and analytics

Our website uses essential cookies to manage your login session. We do not use third-party advertising or tracking cookies. Standard web server logs may record your IP address, browser type, and pages visited for security and performance monitoring purposes.

10. Complaints

If you believe we have breached the Australian Privacy Principles or mishandled your personal information, you can lodge a complaint by emailing tom@chairsidelogic.com.

We will acknowledge your complaint within 7 days and aim to resolve it within 30 days. If you are not satisfied with our response, you may lodge a complaint with the Office of the Australian Information Commissioner (OAIC):
